Procedure:

1. Collect only necessary personal information (e.g., names, contact details, access instructions).
    

2. Store digital records in password-protected systems and physical records in locked cabinets.
    

3. Limit access to authorised personnel only.
    

4. Do not share personal information without consent unless legally required.
    

5. Respond to client or staff requests to access, correct, or delete their personal information.
    

6. Securely dispose of information that is no longer required, following retention guidelines.
